Growing property management company seeking a highly organized Maintenance Coordinator / Dispatcher to help manage repairs, vendors, work orders, scheduling, and day-to-day maintenance operations across our rental portfolio.
This is primarily an operations and coordination position. The role involves working closely with maintenance technicians, contractors, vendors, utility companies, tenants, owners, and office staff to ensure repairs are completed efficiently and properties remain in excellent condition.
This is an in-office position in Winter Park.
Responsibilities Include:
• Dispatching maintenance technicians and subcontractors
• Scheduling repairs, turnovers, inspections, and service calls
• Coordinating vendors, contractors, and utility companies
• Tracking work orders from start to completion
• Following up to ensure repairs are completed on time
• Obtaining repair quotes and coordinating approvals
• Communicating with maintenance staff throughout the day
• Ordering materials and coordinating deliveries
• Scheduling property turns between tenants
• Maintaining detailed notes, photos, and records
• Assisting with vendor invoices and documentation
• Monitoring maintenance priorities and emergencies
• Answering phones and responding to emails
• Following up with applicants, tenants, vendors, and owners
• Entering and updating information in AppFolio and company software
• Assisting with lease renewals, notices, and move-in/move-out coordination
• Assisting with rental verifications and utility account coordination
• Filing, scanning, and maintaining electronic records
• Assisting management with special projects and administrative tasks
• General office and administrative support
Qualifications:
• Strong organizational and multitasking skills
• Ability to manage multiple projects simultaneously
• Comfortable making and receiving phone calls throughout the day
• Strong follow-up and problem-solving skills
• Ability to prioritize urgent repairs and maintenance requests
• Computer proficient with Microsoft Office and email
• Dependable and punctual
